Reserve a Room

Step-by-step instructions:

1. Click on the Reserve a Room button. The on-line study room calendar will come up. On the top right hand corner, click on the sign-in link. 2. First time user only - click on create new user account. Complete the on-line form and submit. (Note: you must have a La Sierra email address in order to use the on-line reservation system.) 3. An email will be sent to your email address. Clink on the link provided to confirm your email address. Clicking on this link will send you to the login page.

Making a reservation

1. Log into the reservation system using your email address and password. 2. When you log in, you will see the main weekly calendar that shows reservations for all the study rooms. On the right hand side of the screen you will see study room options. Each room has its own distinct color. You will also notice five different tabs across the top of the calendar. The first three show the monthly, weekly, and daily views. The last two are the agenda and availability tabs. 3. There are three ways to make a reservation. (Note: Reservations must be made at least 24 hours in advance and up to two weeks in advance. Maximum time allowed is four hours.)
a) The calendar method: To select the room that you want to reserve, click on the study room icon for the room you would like to reserve. The calendar will come up for that study room. The room number should be at the top of the page and there should be a blue triangle next to the room link that you used. Click on the time for which you would like to reserve the room. The new reservation window will come up. The top line (When) shows the time and date of the reservation. Make sure these times are correct. In the description line, put the description of the use of the room. Example: Chemistry Study Group. The next two lines should already be completed with your name and phone number. Complete the last two lines with the number of people in your study group and your La Sierra ID number. Click on Create Reservation. Your reservation will now show on the calendar. (Note: only the top two lines, the date, time and description will show on the calendar to the public.) You will receive an email confirming your reservations. b) Agenda Tab: Go to the agenda tab and click on the Create New Reservation icon. The new reservation window will come up. The top line (When) shows the time and date of the reservation. Make sure these times are correct. In the description line, put the description of the use of the room. Example: Chemistry Study Group. ( Note: only the top two lines, the date, time and description will show on the calendar to the public.) The next two lines should already be completed with your name and phone number. Complete the last two lines with the number of people in your study group and your La Sierra ID number. Below the La Sierra ID number you will find a drop down box for the different study rooms. Highlight the study room that you would like to reserve. Click on Create Reservation. Your reservation information should appear. You will receive an email confirming your reservations. If the room you requested is not available at your desired time, there is a 'find available space' search option which you can use to find available rooms for the time you want. Using this option will put you in the availability tab. c) Availability Tab: On this tab, there is a grid that shows the available space for the study room. The blue + signs next to the study room shows that the room is available. A greyed out + shows the room is unavailable. Clicking on the blue + sign will bring up the reservation window. The top line (When) shows the time and date of the reservation. Make sure these times are correct. In the description line, put the description of the use of the room. Example: Chemistry Study Group. (Note: only the top two lines, the date, time and description will show on the calendar to the public.) The next two lines should already be completed with your name and phone number. Complete the last two lines with the number of people in your study group and your La Sierra ID number. Below the La Sierra ID number you will find a drop down box for the different study rooms. Highlight the study room that you would like to reserve. Click on Create Reservation. Your reservation information should show on the calendar. You will receive an email confirming your reservations.

Canceling Your Reservation

Should you need to cancel your reservation, log back in (your account has already been set up) and go to the agenda tab. You will see a list of all your reservations. On the far right side of the reservation is the edit icon. Click on the icon for the reservation that you want to cancel and the edit reservation screen will pop up. At the bottom of your screen you will see the option Delete Reservation. Click on it and your reservation will be cancelled. You will receive a confirmation email stating that your reservation has been cancelled.

Group Study Room Policies

Study room reservations are available only to currently registered students, staff and faculty of La Sierra University. They are intended ONLY for group study, not meetings, classes or related uses. Group study rooms are available for reservations only during the hours the Library is open. Group study room priority usage is for groups of two or more people with advance reservations. An individual may use a group study room, but only as a walk-up if no reservation is currently in place for that room. Patrons should not reserve a group study room for individual study. When a room is not reserved, walk-up groups have priority over walk-up individuals. Individual users in a group study room will be asked to vacate the room for groups of two or more studying together. Personal materials and library books may NOT be left unattended in the group or individual study rooms while in class, for extended periods of time, or overnight. Materials and personal items left unattended will be removed. Library books that are not checked out will be returned to the stacks. No food or uncovered drinks are allowed. Reservations for groups of two or more may be made:
  • Up to 14 days in advance
  • 4 hour maximum per day
  • Reservations or any changes must be made no later than 24 hours in advance.
Rooms may not be reserved or "held" for one person only. There is a 15 minute grace period for reservations. If the group (two or more people) is not present within the grace period, the reservation is invalid, and the room is available for use. Rooms cannot be reserved or held by placing personal belongings in them. Note: You must have a valid La Sierra University e-mail address in order to make a reservation. Please be considerate and cancel any reservations that you will not be using.
